With the involvement of EU funding, a development has been implemented that allows school enrollment to be conveniently managed through an electronic platform starting from the 2019/2020 academic year. Parents no longer need to appear in person at the school for enrollment, and many other administrative and academic tasks can also be handled online.
The project, titled “Standardization and Digitalization of Public Education Administration” (in Hungarian: KAFFEE), aimed to introduce nationwide, integrated electronic systems for administrative, academic, financial, and HR processes. These systems ensure unified, digital communication and administration across public education institutions.
The KAFFEE program, as an extension of previous electronic processes, ensures a higher quality of service for both parents and students. Currently, 17 different administrative and academic procedures can be handled electronically in state-maintained public education institutions.
Until now, parents and teachers primarily communicated through the so-called “message book,” in person, or via email. Now, the platform provides a secure, convenient, and trackable electronic communication channel for interactions.
Thanks to the new system, various administrative procedures—such as enrollment, transfers, exemptions, certifications, and diploma replacements—can now be handled electronically. Additionally, through the Communication Module, institutions can directly exchange messages with parents or guardians. Parents can also pay legally mandated fees via the KAFFEE e-Administration system, and these payments are immediately recorded by the district center through the newly introduced financial and HR system. To assist users, a continuously updated knowledge base portal provides video tutorials and written guides on system usage.
With the reorganization, new regulations, and the introduction of electronic communication, the processing time for public education administration has significantly decreased, along with the need for in-person presence. This results in substantial time savings for schools, students, and guardians alike. This marks another important step in reducing administrative burdens and advancing the digital transformation of public education. With these new online services, education administration has become digital, standardized, and regulated nationwide, meeting the expectations of the 21st century.
